Position Title: Enquiries Officer

General Description

To answer enquiries to undergraduate and postgraduate students related to academic issues, and to participate in team work in support of communications to students and special projects related to improving student academic services.

Main Responsibility and Accountability

Your main duties will be:

1. Respond to enquiries from students and other visitors to the Registry related to academic issues, in-person, by phone or by e-mail, in an accurate and timely way.

2. Solve problems by researching University policies and procedures, and liaising with colleagues in Registry, in academic departments and centres, and colleagues in other offices on campus or at partner universities.

3. Escalate issues, as appropriate, to supervisor or other colleagues for resolution.

4. Maintain records of enquiries, according to systems as developed in the Registry, and produce summary reports as required.

5. Participate in the development and updating of procedures and protocols, and communications materials, both in print and on the web.

6. As assigned by the team leader, provide support to a range of academic events organized at the University for students and secretarial services to a number of university committee meetings as assigned.

7. Work with the Student Mobility Manager to organize introduction sessions and to support students in their 2+2 study route and the associated visa application processes.

8. Work on special projects, suitable to the level of position, as assigned by the Team Leader.

9. Develop and maintain database of student enquiries and produce FAQ for internal and external use.

Position Qualification Requirement

Qualifications:

· Bachelor degree or above, with at least 3 years’ work experience

· Knowledge of UK higher education system or oversea education/work experience

· Bilingual (English and Chinese) with excellent oral and written skills in both languages

· Patient, self-motivated and attentive to details

· Excellent computer skills in using word processing, spreadsheet and presentation software

· Outgoing, good interpersonal skills, demonstrated commitment to service

· Demonstrated coordination skills to liaise with colleagues where work interests overlap

· Ability to prioritize and manage time in a fast-paced environment

· Ability to handle confidential matters expeditiously
